POSITION OVERVIEW
Sepsis Alliance seeks an experienced and collaborative non-profit finance and operations professional with a demonstrated successful track record in serving in this role. The ideal candidate will be capable of overseeing accounting and finance, human resources (including benefits), and business administration functions such as IT.
The Director of Finance and Operations reports to the CEO, supervises operations and finance staff and contractors, collaborates with finance, HR, and IT consultants, and works closely with all Sepsis Alliance departments, including programming, development, marketing, and operations. The Director of Finance and Operations also staffs the Finance Committee of the Board of Directors, who meet monthly.
PRIMARY RESPONSIBILITIES
Operations – 50%
- Oversee direction, policies, and procedures for project management, data management, and reporting
- Oversee organization IT support and manage relationship
- Direct organization CRM database processes, procedures, quality, and improvements
- Oversee organization shared file system and accounts
- Identify best practices and improve internal systems with an eye toward future needs and budget realities
- Oversee contract management and compliance; ensure timely billing of reimbursable expenses
- Annual review of insurance policies and other risk management programs of the organization and coordinate with brokers, agencies, or government departments when necessary
Accounting and Financial – 25%
- Provide guidance and support to the Accountant, who is responsible for all accounting functions including A/P, A/R, payroll, bank reconciliations, cash management, month and year-end close functions, coordination of tax filings, tracking of prepaid expenses, banking, financial reporting for grants, conformity with GAAP and compliance with filing of all local, state and federal agencies, and preparation of financial statements
- Monitor and operate internal controls and processes that safeguard the assets of Sepsis Alliance and ensure data integrity; Annual review of security of financial data and assets
- Work with the CEO and Vice President, Development and Operations, and Accountant to develop annual budgets and long-range financial forecasts, and monitor budgeted income and expenditures
- Review monthly financial statements which are prepared by the Accountant, with CEO and department heads as required, and support the Accountant who will present to the Finance Committee and Board of Directors
- Support the Finance Committee of the Board of Directors by developing data that assists them in their fiduciary responsibilities
Human Resources/People & Culture – 25%
- Oversee Human Resources functions including benefits management, creation and maintenance of employee files, new hire documentation, onboarding of staff, board and advisory board members, etc.
- Assist the CEO in developing salary ranges and policies, ensuring pay equity across positions and locations
- Oversee annual review of the Employee Handbook to ensure compliance with any changes in employment law and updated policies
- Work with the CEO to develop Human Resources policy proposals
- Develop and implement all people and culture initiatives
- Manage culture of diversity, equity, and inclusion, including managing the DEI committee
- Create programs to improve employee satisfaction and retention, regularly evaluate and advocate for improved employee benefits
- Manage on-site and virtual office environment with Operations Manager
- Ensure strong employee relationships, policies and procedures, and recruitment efforts are in place, seeking legal counsel when appropriate
- Provide a professional, nurturing, and exciting workplace to attract and retain talent
Qualifications:
- Minimum of 7-10 years of experience in financial management and operations, with at least 3-5 years in a nonprofit setting
- Relevant advanced credentials, including an MBA, CPA or commensurate experience
- Experience working and leading in a virtual work environment
- Proven experience in managing financial audits, preparing tax filings, and overseeing budget development
- Demonstrated success in managing the operations of an organization, including IT and HR
- Experience working with financial software such as QuickBooks, SAP or similar; CRM software, Salesforce preferred; project management software, Monday or similar.
- Strong strategic leadership and team management skills, with a collaborative, inclusive approach to working with diverse teams
- Excellent analytical and problem-solving abilities, with strong attention to detail and accuracy
- Ability to communicate complex financial information clearly to non-financial staff and Board members
- High level of integrity, ethics, and commitment to the organization’s mission and values
